Hosted Exchange withdrawal
We have received notice that the Microsoft Hosted Exchange email service is being withdrawn completely.
All Megganet email clients using Microsoft Hosted Exchange must move (migrate) to Microsoft Exchange before mid September.
Microsoft Hosted Exchange email is hosted on non Microsoft servers and as such, we were able to offer additional email related services. All of these are to be withdrawn a well. As part of the migration, we will be using alternates for any addons you may have so you won’t lose any features.
The process of transferring your email from Hosted Exchange to Microsoft Exchange is very time consuming for us as each email account must be backed up from the old system and restored on the new system. The new Microsoft Exchange accounts need to be created and various MX, TXT SPF and other DNS records need to be updated at precisely the correct time and in the right order.
Domain name
If the domain name is not registered by Megganet, we will need to liaise with your Domain name holder to;
- Insert a TXT record
- Insert SPF, and other TXT
- Adjust the MX record(s)
After inserting the initial TXT record, Microsoft will attempt to authenticate the domain. If the test is passed, the person in charge of your domain will then need to proceed with stops 2 and 3. Please note, all the mail accounts will need to be backed up just before step 2 and 3 so we will need to make sure the timing is set correctly.
This usually works well, however, if there are any issues, the whole process will need to be rearranged to be restarted at a later date.
There are individual pages covering the subjects below.
Microsoft Exchange Webmail
The webmail service is more native to Microsoft and is slicker, faster and more current. Any device that has a browser may be used to view Microsoft Exchange email.
Configuring Microsoft Exchange on Outlook
All Windows computers using a mail client (Outlook) will need to be re configured.
More specifically, Microsoft 365 Outlook. Outlook allows multiple profiles to be used and the best way to configure Microsoft Exchange is to simply add a new profile with your new credentials.
Please note, Microsoft Exchange does not work with some versions of Office 2016 and does not work at all with older versions of Outlook at all.
Configuring Microsoft Exchange on and Android device
Android devices have native support for Microsoft Exchange. Please refer to the specific help page.
Configuring Microsoft Exchange on an iOS device
iOS devices have native support for Microsoft Exchange. Please refer to the specific help page.
Additional information
Once the new system becomes active, your old email will need to be restored to it. This may take some time and we usually carry this out overnight or over a weekend. The process may take a considerable amount of time due to large mailboxes and during this time, your email will not all be available.
Outlook will need to be re configured on your computer before you can use it to access your email. We can carry this out manually by remote access, usually out of hours but in some cases (the end user has switched the computer off, the remote connection goes offline) we can do it later. In the meantime, you can use the Webmail to access your email.
Email addresses and passwords are to be kept the same.
We apologise for any inconvenience this may cause.
